This Privacy Policy will answer the most important questions about how we collect, use, and protect information about you. If you have any questions or if any part of this message is unclear, our data protection officer is ready to help you as described in Chapter 13 of this Privacy Policy. Please note that any form of the word "we" in this Privacy Policy refers to our Company, as specified in Chapter 2 of the Privacy Policy.

We process the inquiries, requests, and complaints we receive and prepare responses to them. For this reason, we need to collect, use, and store information about you.

When you submit a query, request, or complaint to us, we collect the following data:

  • Contact details provided in the query, request, or complaint;
  • Topic of the query, request, or complaint;
  • Date of the query, request, or complaint;
  • Content of the query, request, or complaint;
  • Files attached to the query, request, or complaint;
  • Your first and last name;
  • Response to your question;
  • IP address (if the query is submitted via the "live chat" functionality);
  • Some information that you provided yourself.
  1. What information should I provide you and why?

When submitting a question on our website using the specified email contact addresses or by mail, you should provide us with your name, surname, email address or other contact details, the subject and content of the question, and relevant information for the inquiry. After submitting a question, you may be asked to provide additional information about yourself to properly respond to your inquiry.

If you submit a query through the "live chat" feature, it is sufficient to provide the questions or observations that concern you.

  1. What is the legal basis for collecting information about me?

We collect and store information about you lawfully because:

  • If you submit a request, application, or complaint regarding a contract we have entered into – this data is collected for contract execution or formation purposes (GDPR Art. 6(1)(b));
  • We have a legal obligation to store inquiries, requests, complaints (GDPR Art. 6(1)(c));
  • If your query, request, or complaint is not related to contract formation – we have a legitimate interest in managing such queries, requests, complaints (GDPR Art. 6(1)(f)).
  1. Do you collect sensitive information about me?

We do not collect sensitive information about you and ask you not to provide such information. If you provide this information to us, we will assume that you have consented to the processing of such personal data (GDPR Art. 9(2)(a)).

  1. Do you undertake automatic decision-making or profiling based on information about me?

No automatic decision-making is performed, and you are not profiled.

  1. Do you share my information with other entities?

Your information may be passed on to:

  • Legal service providers, law firms, as necessary for the defense of our legitimate interests;
  • Our service providers, e.g., archiving, communication, data storage, information management systems, and similar service providers, who assume legal obligations for confidentiality and security under data protection law;
  • Entities conducting audits or inspections, and/or state or municipal institutions, assuming confidentiality obligations in the field of data protection.

We do not share your data with entities outside the European Economic Area.

  • If your query is related to a contract we have entered into – your information will be stored for 10 years after the end of the contract;
  • In all other cases, information about you will be stored for 1 year from the final decision regarding your query, request, or complaint.

If you want to take the actions listed below, please contact our data protection officer as indicated in section 13. Note that legal exceptions and limitations may apply to these rights.

  • Submit a request to access the available information about you if we process your personal data from which we can identify you;
  • Submit a request to correct or supplement the available information about you;
  • Submit a request to delete information about you when:
    • We process your data based on consent;
    • We process your data unlawfully;
    • Your data is processed on the basis of our legitimate interest and you contest our legitimate interest;
    • Your data is no longer necessary for the purposes for which they were collected;
  • We have a legal obligation to delete information about you;
  • Submit a request to limit the processing of the information we have about you when you dispute the accuracy of the data or object to the processing, disagree with the unlawful processing of your data, or need the data to assert, execute, or defend legal claims;
  • Contest the collection, use, and storage of your information in our company when, processing your data, we base on a legitimate interest;
  • Submit a request to export your data if you provided the data in a structured, commonly used format and gave consent for such data processing, or we need to process this data to fulfill a contract with you;
  • Revoke consent given to us at any time;
